Document and File Functions

Document and file operation are accessed from the pull-down menu, by pointing to a file or document icon and pressing the right mouse button (right-clicking), or by using the various keyboard shortcuts.

For all file and document operations, TIMS3 will check whether you have the required privileges to perform these operations. These privileges or user access rights are defined by the TIMS3 administrator. They are also dependent on the project owner and the owner’s primary group for creating new files/documents, and on the document’s owner and primary group for all other operations. The file check out operations will also depend on the status of the file, i.e. whether the file is already checked out by another user.

When you right-click on a document, the list of available functions is dependent on the current status of that document. The example shown above indicates that the selected document is not currently checked out. Therefore, you have the option of either checking or copying out this document. However, if the document was previously checked out to your workstation, you would have the option of either checking the document back in to the server, updating the server, updating the client, or canceling the check out. Alternatively, if the document was previously checked out to another workstation, you would only be able to copy the document out to your own workstation.

You can use the standard Windows controls for selecting a group of documents. The combination of the left-button and the Shift key will select all the documents between the first and last documents picked. The combination of the left-button and the Ctrl key will add the document to the selection list.

When you right-click with multiple documents selected, you are presented with the possible common functions that can be performed on the complete group of documents.
