Document Set Functions

You can create Document Sets in TIMS3 to easily group documents or files together so that they can be easily identified as being part of that set as well as being able to transfer the files as one group.

If you are in the database view, you can create, rename, delete or modify document sets. By right-clicking on existing document sets or on the defined document types, you have various file transfer options that will operate on the complete document types or document sets within a project. This will allow you to check out, copy out, or clean up the entire document type (for example, graphics documents) or a document set.

New Doc Sets

When you create a new document set, you will be prompted first for the name of the new doc set.

This name should be unique for the project. TIMS3 will then create the document set folder. To add documents to the doc set, you must drag and drop documents from any active TIMS3 project. Note that you are not moving or copying files from their original locations. All you are doing is grouping them together in this named document set.

Delete Doc Set Record

Before you can delete a document set, you must remove all documents from the set from within the document set folder. By doing this, you are simply removing this relationship from the TIMS3 database. You will not delete the document itself from the system.

 Verify Delete Doc SetAfter selecting one or more documents from the set folder, you can press the delete key, right click and select the delete function, or select the delete function from the file pull-down menu. This action will be confirmed by the following message:

After removing all documents from the document set, you can then proceed to remove the document set itself by pointing to the doc set icon and selecting the doc set delete function from either the pull-down or pop-up menu.

The action will be confirmed by a message before it is processed.

Rename Doc Sets

You can rename an existing document set by pointing at the doc set folder and selecting the rename function from either the pull-down or pop-up menu. The doc set name will be highlighted to allow you to enter a new name. Alternatively, you can point to the name twice with an appropriate delay to highlight the name and to allow you to overwrite it with a new name.

Selecting the properties function shows you some basic information regarding the selected doc set.

Doc Set file transfers

As with projects, you can check out, copy out or clean up the entire document set by either right-clicking on the document set folder, or by selecting the function from the document set pull-down menu. The check out and copy out operations allows you to transfer all files in a doc set with or without attached reference files. After the selection is complete, a confirmation window is displayed allowing you to de-select certain files. You can also clean up all files in the doc set.
