When selecting the Documents option from the main switchboard, a sub-menu appears allowing you to select further options:

The documents database is designed to manage three types of documents:

The database is structured with general information such as the document description, file name, owner, etc. common to all the document types. This is supplemented with type-specific information, where the data stored is dependent on the type of the document.

Revision information can be recorded with each document. When you create a document revision, TIMS3 creates a read-only copy of the working document for the defined revision. Multiple revisions may exist for a particular document, with each revision having a corresponding read-only file on the server.

Custom fields are provided to store user-specific information for each document type. The system administrator or supervisor typically defines which custom fields should be provided in the database, the format of these fields (i.e. numeric or text) and which custom fields should be indexed for quick searching and location in the database.

Document indexes consisting of up to three keywords may be associated with the document. The three keywords are inter-related in a hierarchical structure, where a keyword on the 1st level may have a set of sub-indexes on the 2nd level. Similar relationships can be defined between the 2nd and 3rd levels of keywords.
