TIMS3 OnTrac (Team Responsibilities Approval and Control) is designed so that it is flexible and adaptable to any number of communication needs. Design issues between consultants, contract admin issues between contractors and scheduling issues with clients are just a few of the more common uses of this ProjectWeb module. Recognizing that the tool is only useful if it can be understood, great care has been taken to ensure that the product is intuitive ensuring that participation is immediate.

The most powerful function behind the OnTrac site is its ability to configure flows within the project. Administrators can setup both flow templates and project team within the project. The user initiates a OnTrac flow by selecting a pre-defined template.

The Templates are created for each type of task or issue to be tracked for a given project i.e. RFIs, COs, CCNs etc.

The template is setup with the typical task approval flow and security settings. These settings can be modified if required to reflect different approval or security requirements as needed.

Any participant of a given task may alter it assuming it has not been locked. This allows for task deadlines and approvers to be changed or updated when necessary, i.e. client has prioritized a task and the deadline has moved up or the person assigned to the task is unavailable and the task is rerouted to another available resource to keep the flow moving.

All changes made to a task are recorded to ensure changes are not made unless necessary.

Each user has a unique dashboard with a graphic display to provide details related to tasks on a project by project basis. This personal dashboard information can be easily filtered to focus attention on tasks that require attention/action by the user or even to display only completed tasks.

Project Managers can now quickly see all project tasks that are outstanding and take appropriate action. They no longer need to rely on Excel logs which may or may not be up to date.

Reports that took hours or days to complete are now just a click away. An RFI log or CO log can be generated and exported to Excel for further review at any time.

OnTrac also helps users file documents into TIMS following corporate guidelines. When a new task is created the system will file all files associated with the task into the prescribed folder.
